Terms & Conditions
These Terms & Conditions apply to all rentals and services at Sage Grove Studio & Workspace (“the Studio”). By booking, you agree to abide by these terms in full. Failure to comply may result in additional fees, termination of rental, or denial of future bookings.
General Terms
Rental Timeframe:
- Your rental includes only the time you have reserved. Setup and cleanup must be completed within your scheduled session. Early entry or late exit may incur additional charges.
Furniture & Custom Setup Policy:
- All furniture, décor, and props in the Studio must remain in their original placement. Clients may not move or rearrange items on their own at any time.
- The Custom Setup / Furniture Adjustment Add-On is a service provided by Sage Grove staff only. If selected, Sage Grove will contact you before your session or event to confirm your requested setup and prepare it in advance.
- Clients are not permitted to move furniture themselves under any circumstances.
- If any furniture or décor is moved without prior approval, a reset/cleanup fee will be charged. In addition, Sage Grove reserves the right to terminate your rental immediately and/or prohibit you from booking future sessions or events.
No Open Flames:
- Candles, incense, sparklers, smoking, vaping, or open flames of any kind are strictly prohibited.
No Alcohol or Drugs:
- Alcohol and illegal drugs are strictly prohibited.
Content & Conduct Policy:
- Sage Grove Studio & Workspace is a professional, family-friendly environment. The space may not be used for any explicit, pornographic, or sexually suggestive activity, including but not limited to sexual acts, nudity, or adult content creation.
- Any such activity is strictly prohibited and will result in immediate termination of your rental, forfeiture of all fees, and permanent loss of booking privileges.
- The Studio maintains security cameras in common areas for safety and property protection. No cameras are located in private restrooms.
Messy Items & Prohibited Activities:
- Champagne bottle “pops,” glitter, and plastic confetti are not permitted anywhere in the Studio.
- Cake smashes are permitted, but you must clean up fully after your session. Excessive messes that require additional cleaning will incur a cleanup fee.
- Please use common sense and avoid any activities that could cause property damage or safety hazards.
Guests & Liability:
- Bookings are for the named renter only. You may not split the booking with another photographer, client, or business unless explicitly arranged with the Studio in advance. Unauthorized use may result in termination of your rental.
Children:
- Children must be supervised by an adult at all times while on Studio property.
Pets:
- Pets are not permitted unless required as service animals.
Cleanliness:
- Please leave the space in the same condition you found it. All trash, personal items, and props must be removed. Failure to clean up will result in a cleanup fee.
Damage & Theft:
- Renters are fully responsible for any damage to the space, furniture, décor, or equipment during their booking.
- Any damage, theft, or missing items must be reported to Sage Grove immediately. Failure to report damage or missing items may result in loss of booking privileges, additional charges, and/or legal action.
- Sage Grove LLC reserves the right to seek reimbursement for all damages or losses, including through collection processes or legal proceedings if necessary.
Access, Lock-Up & Security Codes:
- Upon arrival, renters must unlock the Studio using the provided lockbox or keypad code and immediately return the key to the lockbox before entering. The key must remain secured inside the lockbox at all times.
At the end of your rental, you are required to:
- Turn off all lights and equipment.
- Ensure the space is fully locked by securing both the interior and exterior doors.
- Re-lock the lockbox properly so the key is secured for the next renter.
- Access codes are valid only for the duration of your booked time. Early or late entry outside your scheduled window will not be permitted and may trigger security alerts.
- If you fail to lock the Studio properly, fail to return the key to the lockbox, or remain in the building beyond your rental period, you may be charged for additional time and/or denied future booking privileges.
- A $50 lost key fee will be applied if the key is misplaced, removed from the premises, or not returned to the lockbox.
- Sage Grove monitors all lock activity through secure digital logs. Any misuse, negligence, or failure to comply with security procedures may result in additional fees or further action as deemed appropriate.
Noise:
- Please be mindful of noise levels. Music and sound must be kept at a reasonable, background/ambient volume. Amplified or excessively loud music is not permitted. This is to ensure respect for other tenants in the building and adjacent spaces.
- If you are made aware of a noise concern from another tenant, please notify Sage Grove immediately at (607) 483-9122 so the issue can be addressed promptly.
Late Arrivals:
- Late arrivals do not extend your rental time.
Liability:
- Sage Grove LLC is not responsible for personal injury, lost/stolen items, or accidents that occur during your rental. You assume all responsibility for yourself, your clients, and your guests.
Cancellations:
- More than 72 hours before your booking → Eligible for one-time studio credit only (no cash refunds). This credit must be used toward a new booking within 90 days.
Important: Studio credit is a one-time courtesy. If the rescheduled booking is canceled again for any reason, the credit will be forfeited.
- Within 72 hours of your booking → Non-refundable, no credit issued.
- No-shows → Forfeit full booking fee.
Repeated cancellations, reschedules, or no-shows may result in a loss of booking privileges.
Weather/Acts of God:
- In the event of severe weather, power outage, or other unforeseen emergencies, Sage Grove will work with you to reschedule. Refunds are not guaranteed.
Property Security & Monitoring:
- The Studio and its common areas are monitored by security cameras for safety and property protection. No cameras are installed in private restrooms.
- By booking, you acknowledge and consent to standard property monitoring practices for security purposes.
Right of Entry:
- Sage Grove staff retain the right to enter the premises at any time if necessary for safety, security, maintenance, or policy enforcement.
- Staff will not disrupt your session unnecessarily but may enter if there is reasonable concern about prohibited activity, misuse of the space, or emergency circumstances.
- Renters may not lock out Sage Grove staff or deny access to the property at any time.
Right to Refuse:
- Sage Grove reserves the right to refuse service, terminate a rental, or prohibit future bookings if activities are deemed unsafe, unlawful, or disruptive.
